I have worked with Warwick IC Systems for four years since I joined West London Mental Health Trust Occupational Health Services. Since October 2004 I have worked closely with the technical team who have been extremely supportive on every issue no matter how small it is.
During this time we have had numerous upgrades and introduced OPAS/CASS to our satellite sites. OPAS/CASS has allowed our service to produce reports and letters electronically by using email and the trust intranet. At the moment both the clinical team and the administrators are using OPAS to its maximum potential, they all rely heavily on OPAS as part of their daily working practice, especially in case tracking. Recently Warwick has worked closely with McKessons (suppliers of the Electronic Staff Records) ESR to transfer staff records on to OPAS/CASS.
The information on OPAS/CASS is presented in an easy to use format. Many reports are available directly from the system. I have found the Annual User Group meetings extremely useful. These meetings allow you to network with other users and look at ways to improve the use of OPAS/CASS within Occupational Health.
I have been most impressed when Warwick introduced a member of their development team to visit our site once a year. This opportunity benefitted our service a great deal as it allowed Warwick to look at the trust records and see how they could improve the service, giving it a personal touch. As a result of this venture we have many pending small projects.

PHS - Preventive Healthcare Services
One of our PHS users based near Dublin used the system to evaluate the effectiveness of promoting health in the workplace.
Promoting health in the work-place offers dual benefits; for the organisation in terms of productivity and increased moral and for the employee, maintaining their physical and mental health. Early participation in lifestyle screening ultimately promotes and maintains a peak level of health at work and consequently benefits both the employee and employer.
Baseline assessments of those who chose to participate were carried out on site by the investigating Occupational Health Nurse Advisor (OHNA) over a three-month period, using the PHS software module from Warwick International. Participants were reassessed six-twelve months later to establish if any lifestyle changes had occured and also to reinforce any positive lifestyle behaviour changes, at each stage participants were given a printout of their results and an advice sheet to help them make positive lifestyle changes.
Statistically noteworthy improvements in lifestyle behaviour were found in, level of physical activity per week, fibre intake, saturated fat intake, and ratio of total cholesterol to high-density lipoprotein cholesterol. A marginal improvement in lifestyle behaviour was found in present stress levels and level of high-density lipoprotein cholesterol (HDL-C).

The Golden Jubilee National Hospital, Occupational Health Department have been using OPAS since 2003
Over the past years the staff have become more confident in utilising this system and have tailored it to the needs of the business, with the help and support of Warwick International. The diary is well utilised and we can produce several reports that are required for the organisation in relation to Clinical Governance / Workflow planning etc.
The reports also allow us to generate overdue episodes / events allowing us to ensure staff are seen at the appropriate times.
We have recently upgraded our system and now have the facility to scan our documents into OPAS, thus reducing the need for paper records and the duplication of some consultations. Being able to scan the documents into the appropriate episode / event is also beneficial.
Since 2004 we have been working towards achieving our Scotland's Health at Work (SHAW) Awards. We have achieved the Bronze and Silver and are now working towards the Silver Healthy Working Lives (HWL) Award, which replaced SHAW in April 2008.
The Mental Health and Well-being Commendation (HWL) Award was also achieved in November 2007.
The PHS component of OPAS helped us greatly in achieving the above awards. Part of the award criteria was to be able to offer staff lifestyle checks, PHS allowed us to offer different types of lifestyle checks for employees, based on their individual needs. The lifestyle screening / cardiovascular risk appraisal and the quick nutritional indicator were popular with the staff, the print out at the end allowed them to take the information away with them for future reference and staff do attend OH to have this repeated.
The stress risk assessment questionnaire also helped with the mental health and well being commendation award.
Over the years we have had to contact the support team, have had several training days and there have been the courtesy call and visits from the team, on every occasion the staff are all very professional and helpful. There is never a question or a query that is too big or small.

We have worked with the Warwick / CASS team for years, and together we have developed a system that operates over a thin client network which is simple for the end user to record information on safety events that resulted in injuries, vehicle damage or a near miss. Links with our existing HR data and property details has allowed auto-fill for personal / location details. We have future proofed the system for inclusion of details from an equipment / vehicle database at a later time. The project was not without its difficulties, but the Warwick team worked well with in-house IT and safety professionals to deliver a system that has a high degree of reliability. All health and safety performance details are provided by the CASS system - or as we call it in house "SERD" (Safety Event Reporting Database).

The accident recording system is the main stay of any health and safety office. It monitors performance, good or bad and allows for new strategies to be developed based upon sound information.
It is therefore imperative that whatever accident recording system used that it is robust, capable of dealing with a variety of information in different formats and able to be modified as the business changes.
Another vital part of any software is that it keeps the pace with changes and innovation, nowhere is this more important than with software.
The above requirements were fully met by CASS from Warwick Systems and we have not been disappointed with this choice.
The CASS system allows us to record and monitor the accidents, generate management reports, monitor legal claims and allocate investigations or projects to Safety Officers.
It has also assisted in the reduction of paper as we scan documents or attach files to the relevant record, this reduces space required for filing, but more importantly keeps all the information in one place and can be quickly located.
There are regular updates to the software and the customer has the opportunity to influence future development of the system via questionnaires and user group meetings, I believe this is very important, some software seems to be developed more from software writers and the user is just secondary.
It often happens that changes are needed to meet a particular need and I would have to commend the level of support from the helpdesk, this is excellent nothing is too much trouble.

We had been unhappy with our software provider for a couple of years as it did not provide a comprehensive system for us, which meant that we had to run a different programme for our external database to provide reports. We were also unable to audit our activity and when one of our major contracts stipulated that they wanted all the services we provide audited it became clear that we were unable to do this unless we changed to a different system.
We therefore looked at other systems and decided that OPAS would meet all of our requirements. It would also enable us to audit our own service so that we could use this to our advantage to justify things like the need to employ more staff and to justify our value. What it could also do was allow us to audit activity right down to telephone calls which take up a good deal of time but are often forgotten in the auditing process.
OPAS was implemented in December 2006 and in the time that we have been using it we are extremely pleased with the system. It is user friendly, the Occupational Health Nurses are now able to control their own diary, which has also cut down on the Admin Officers role as she no longer has to make follow up appointments, enabling her to get on with more important work and producing reports has now become far less time consuming.
We kept the help desk busy for a few weeks after implementation and they were extremely helpful and continue to be, nothing is too much trouble for them.

We have been using OPAS at Dewsbury & District Hospital site since early 1991. It has been a great asset and improved the efficiency of the department. We use it to record all attendances to the department, immunisation recording, health surveillance, moving & handling training etc. We are able to look up information very quickly thus saving time searching for and retrieving the same information from files.
One of the advantages of using OPAS has been the ease of extracting information from the system. This has saved us a lot of time in the production of reports and statistics, and has allowed us to analyse trends, which in turn has encouraged the development of a more proactive service. We also use it to retrieve statistical information to enable us to invoice outside agencies for services we provide.
We have recently upgraded to a multi-user networked OPAS database which will allow staff within the Mid Yorkshire Hospitals NHS Trust Occupational Health Service to enter data via desk-top computers and laptops wherever they may be.
The OH team work peripatetically, covering a large geographical area. OPAS will help us manage the demands of a multi-sited operation.
The support team at Warwick are excellent in assisting us with any queries/problems and OPAS has proven to be a valuable asset.

EDF Energy has been using the CASS system for the recording of Accidents, incidents and near misses. The system has become a fundamental tool in the process of Accident and Incident Management across our Branch of the company. The system is used for providing data for analysis, KPI’s and Performance Management Balanced Scorecards, monitoring the close out of investigations, quality issues and hazard reporting, therefore has been used extensively since introduction.
Information from the system is presented in a number of formats for ease of use, and many reports available directly from the system issued out to line managers on a daily basis. Recent work on importing our COSHH database into CASS is in progress with Warwick, as well as a full review and subsequent effective recording and collation of our Risk Assessment is also in progress.
EDF Energy and Warwick International have been working together to make full use of the system, and a strong relationship has developed between us. Annual meetings with other users of the system provide us with ideas on how to improve and continue to develop our use of the system, which is excellently managed by Warwick’s User group sessions.
The system has always been reliable, consistent and easy to use, the few problems encountered have been professionally and quickly handled by the support section, with whom a good relationship has developed. I am sure that our use of the system will continue to grow as our company continues to change.

Scottish Courage is part of a multi-national brewing and distribution service. In the UK alone we have 5 brewing sites and some 30 or more warehouses of varying sizes from Inverness to the Isle of Wight. The OH team work peripatetically, covering large geographical areas. When we looked for an Accident/Incident reporting system we wanted it to be flexible and able to be configured to our needs. We are a large site and meeting the needs of every department is never easy. We wanted it to be networked and easy to use so that line managers and safety reps could enter their own reports, eliminating paperwork and freeing up Safety Department time. Most importantly we wanted a system which allowed us to produce up to the minute reports which every user could access to improve communication and learning from our accident and incidents.

OPAS has enabled us to develop a reliable immunisation recall database of all high risk groups as per Department of Health guidance, for example, a database of all EPP workers and linking it in with Hep B immunisation recall. OPAS has also benefited us in that it has helped us to compile Flu Statistics as well as statistics for first aid and associated recalls.
If problems were encountered we knew that we could rely on the Warwick IC Systems help desk who gave comprehensive instructions in a friendly and helpful manner.

We use CASS as our main safety data base. All accident and first aid treatment records are recorded and kept on CASS allowing easy checking of accident data by year, accident type and individual etc. Furthermore, Health and Safety and First Aid training is also kept on CASS, which provides a quick and easy means of checking training of individuals when an accident occurs or a claim is made.

NHS Grampian Occupational Health Service adopted OPAS as a data recording and activity monitoring computer system in the year 2000.
In that time we have upgraded to a multi-user networked OPAS database which allows staff within the NHS Grampian Occupational Health Service to enter data via desk-top computers in all locations. Administrative staff, nursing staff and medical staff have found the operating interface user friendly following minimal training and development.
NHS Grampian OHS has been able to develop and modify the programme to meet operational needs as well as quality assurance frameworks. NHS Grampian OHS issues annual reports using the pivot table generated activity data.
NHS Grampian OHS has enjoyed the guidance of senior management from within the WICS team as well as regular contact with the telephone support and help line.
The process of implementing the diary management systems through the OPAS service is on going and NHS Grampian OHS looks forward to developing the system over the coming years.

We have had OPAS since early 1992. It has aided the efficiency of the office, and with approximately 38,000 employees it saves a great deal of time that would otherwise be spent searching for files. It is user friendly and easy to adapt to your needs. We would find life very difficult without it.

Broughton is in the process of improving its Occupational Health Service. The overall strategy included a move away from the old paper medical records to a computerised system. OPAS has given the department greater control over its data, allowing us efficient access to general information and to produce useful reports.
We recognised from the beginning the Occupational Health Department would still receive and generate a certain amount of medical information that wouldn’t be computerised but that must be accessible. i.e. specialist reports, management referral forms, test results etc. With the OPAS Document Management system we are able to scan all documentation against a specific event or episode.
Retrieval is simple using the image management tool or by viewing the scanned images held against a specific episode/event. We are then free to archive all the hard copy documentation away from the department giving us much needed space. Administratively, scanning documents has added some time to the workload but the retrieval of the documents is much more efficient and the possibility of important documents being misplaced are eliminated.
