Bespoke Configuration Case Study

A large Utility company had a requirement for OPAS to manage their annual Fitness to Work and Health Surveillance programme in order to aid in achieving their key operational KPI's (KBI's). Their unique approach to the process was that individuals should have an annual medical, however the content of the medical should be specific to the work activities and risks undertaken by that individual employee.

They had previously set up an active risk register which placed employees into groups which determined their exposures but required a mechanism whereby that information could be transferred into the Health Surveillance / Fitness to Work content of the OPAS system. It was decided to modify the existing OPAS Employee Group functionality which already recorded the hazards to which an employee group was exposed, to allow for this integration. It is now possible to record the degree of hazard to which the group is exposed and to set the medical content associated with that degree of exposure.

An example of this is anyone exposed to more than a predetermined level of dust will have a spirometry test included in their annual medical to ensure that their health is not being adversely affected by their work environment. These rules apply wherever that hazard is applied to any employee group and the associated medical activities are amalgamated to give the full content of the annual medical.

Upon booking an appointment for an annual medical for an employee who has been placed within one of these employee groups, the OPAS system will examine the required medical content to be assessed and add together the durations of each medical activity and propose a medical appointment of an adequate length. This calculation aids the organisation in utilising its resources effectively and ensuring that appointment slots are of the correct time length to avoid over running.

It was now possible to generate for any employee a document identifying to which group(s) they belonged to, which hazards they were likely to be exposed to, when their last annual medical was completed and its outcomes, whether the employee was placed on any work restrictions etc. The employee was then able to use that document for inspection as to their suitability for any allocations to a work project or activity they were given.

This bespoke configuration of OPAS was included in a software release as a general benefit to all of our customers and has enjoyed wide spread use since its release.
